1. Secure Your Reservation
To confirm your personalized journey with us, please follow these simple steps:
- Complete & Return Forms: Kindly fill out the reservation and personal forms provided, and send them back to us via email.
- Initial Deposit: A deposit of 30% of the total tour amount is required to secure your booking. Please note this deposit is non-refundable. Your reservation will be confirmed upon receipt of this deposit and held until 30 days prior to your trip departure, at which point the remaining balance will be due. If the balance is not settled by the due date, your booking will be considered cancelled.

Cancellation Policy & Refunds
We understand that unforeseen circumstances can sometimes lead to changes in your travel plans. Our cancellation policy is designed to be clear and fair, reflecting the commitments we make in advance to our suppliers.

Importance of Travel Insurance: Due to our need to prepay suppliers and secure negotiated rates through advance commitments, rights to refunds if you change or cancel your reservation are sometimes limited. We strongly recommend purchasing comprehensive travel insurance, which typically includes trip cancellation and interruption coverage. This may reimburse you for cancellation penalties and extra expenses should a policy-covered circumstance force you to cancel or interrupt your trip.

Company Initiated Cancellations: In the rare event that Golden Trail Travel cancels a trip for any reason, all money paid for services described in the reserved itinerary, less any non-recoverable airline ticket cancellation fees, will be fully refunded to you.

Client Initiated Cancellations:
- Any cancellation by a client must be submitted to us in writing (via email, fax, or other documented means).
- The date on which your cancellation notice is received by Golden Trail Travel (or our agents) will determine the applicable cancellation fee.
- Refunds (where applicable) will typically be processed and mailed within three weeks of cancellation, provided we experience no difficulty or delay in receiving corresponding refunds from involved suppliers.
- No Refunds for Unused Portions: Once travel has commenced, no refunds will be made for unused portions of the itinerary. The price or value of unused services is also not exchangeable for alternative services. As Golden Trail Travel prepays hotels and tour operators, if you do not use a portion of your reservation and the hotel/tour operator is willing to give you credit, you must obtain a signed letter from their manager requesting Golden Trail Travel to issue a refund.

- 14-29 days before arrival: 10% of the total tour price.
- 7-13 days before arrival: 20% of the total tour price.

1. PRICING & ITINERARY ACCURACY
- Transparent Pricing: Prices quoted in USD on our website are valid as indicated at the time of inquiry. While our suppliers may adjust prices, we commit to confirming your exact price prior to booking.
- Itinerary Flexibility: Golden Trail Travel reserves the right to revise the itinerary or substitute comparable accommodations and other tour inclusions. This is sometimes necessary due to unforeseen changes, such as hotel renovations, restaurant closures, or shifts in service quality. We continuously monitor tours and locations to ensure you always receive the best value. For detailed descriptions of hotels used in specific itineraries, please do not hesitate to contact us.
2. ENTRY REQUIREMENTS
- Your Responsibility: It is solely your responsibility to ensure compliance with all visa and health requirements for the countries you intend to visit. We cannot be held liable for any illness, delays, or costs resulting from your failure to meet these requirements. Please ensure your passport is valid for at least 6 months from your arrival date at your destination.
3. DEPOSITS AND FINAL PAYMENTS
- Timely Payments: Deposits and final payments must be made by the deadlines specified to you at the time of your reservation request. We reserve the right to cancel a booking without prior notice if the deposit or balance is not paid by the stipulated deadlines. In such cases, relevant cancellation charges (as per our Cancellation Policy) will apply before any refund is processed. A reservation is confirmed when all paid elements are secured, unless otherwise indicated.
4. ITINERARY CHANGES POST-COMMENCEMENT
- No Post-Departure Changes: Once your travel has commenced, no changes can be made to the printed itinerary by the client. Unused portions of the itinerary, including hotel accommodation, sightseeing tours, airfare, or other included items, are non-refundable.
5. WEBSITE ACCURACY & LOCAL CONDITIONS
- Current Information: Descriptions of services (hotels, tours, cars, flights) on this website are based on the latest available information at the time of publication. However, changes may occur after this date. Facilities may be withdrawn or reduced by service providers (e.g., a pool closure for maintenance, restaurant closures in low season, or ongoing construction/redecoration). Such changes are beyond our direct control. However, if we are advised of any significant developments or changes that impact your booked services, we will make every effort to inform you prior to your departure.
6. LIMITATION OF LIABILITIES
- Golden Trail Travel's Role: Golden Trail Travel acts only as an agent for owners, suppliers, providers, or contractors of transportation and other services during your tour or travel. Tickets, vouchers, or confirmed reservations are issued subject to the terms and conditions under which such services are offered (details available upon request).
- Non-Liability for External Factors: Golden Trail Travel shall not be liable for any expenses, damages, or losses incurred due to:
- Delays or cancellations of scheduled flights.
- Changes in travel programs, routes, or timetables.
- Missing flights due to your failure to comply with airline check-in/boarding procedures, or failure to meet visa/health requirements.
- Airline & Service Provider Liability: Airlines and other service providers (e.g., hotels, transportation companies) operate under their own terms and conditions, and their liability for any loss, damage, or injury during transit or service provision rests solely with them. The passenger ticket or voucher constitutes the sole contract between you and the respective service provider.
- Unforeseen Circumstances: All travel times are based on the best information available. Due to the nature of international travel, schedule and itinerary changes may be necessary and could occasionally prevent the inclusion of some activities. No refunds can be given for such eliminations. We do not accept responsibility for losses or accidental expenses due to changes or delays caused by airline or hotel overbooking, defaults, adverse weather, strikes, sickness, war, riots, or any other causes beyond Golden Trail Travel's control. All such losses or expenses are the responsibility of the passenger.
7. FORCE MAJEURE
- Unavoidable Events: Golden Trail Travel reserves the absolute right to cancel or shorten the duration of any tour in the event of force majeure (e.g., natural disasters, acts of war, epidemics), hostilities, accidents, or other circumstances beyond our control that render such steps necessary. In such cases, Golden Trail Travel shall be relieved from all liabilities and obligations, upon notice to tour participants and refund of amounts paid for the tour or unused portions, as recoverable from suppliers. We will exert our best efforts to secure full refunds, but will not be liable for amounts suppliers refuse to refund for any reason.
8. INSURANCE
- Strong Recommendation: We strongly recommend that at the time of your booking, you secure a comprehensive travel insurance policy in your country. This policy should cover cancellation charges, luggage claims, medical expenses, accidents, and other unforeseen events. 9. RESPONSIBILITY & Acceptance of Terms
- Supplier Terms: All travel documents and vouchers issued by Golden Trail Travel and its agents are subject to the terms and conditions of the respective supplier, the laws of their countries, and applicable international conventions.
- Acceptance: By enrolling in and tendering payment for any and all services, participants explicitly agree to accept and be bound by the terms and conditions outlined on this Website. Participants expressly waive any and all rights they may have against Golden Trail Travel, its agents, officers, or employees for damages or losses incurred, including those caused by negligence.
- Agent Status: Under no circumstances is Golden Trail Travel to be construed as a carrier or common carrier under contract for safe passage of the passenger or for luggage and/or belongings. No person other than an officer of Golden Trail Travel, through a written document, is authorized to waive or alter any condition stated herein.
